  • Accounts Payable Specialist

    Silicon Valley International School is seeking a full-time accounts payable (AP) specialist to join our finance team to help process, track, and record payments in an accurate, efficient, and timely manner. This individual will play a key role in the financial functions of the school, supporting the Controller. This individual will be someone who is detail-oriented, takes the initiative, has a can-do attitude, and is a team player.
     
    Our school is delighted to present a comprehensive salary and benefits package that is both competitive and attractive. Our package comprises medical, dental, and vision insurance, a 403(b) retirement plan, paid vacation time, and paid sick leave. We take pride in offering our employees a generous and flexible benefits package that supports their overall well-being and enhances their work-life balance. The salary range for the present position ranges from $31.00 to $35.00 per hour. The final salary package is contingent on the individual's skill set, experience, and educational qualifications. This position requires the individual to be present on-site from Monday through Friday.

    It is a prerequisite that all potential candidates have received full vaccination against COVID-19.     Responsibilities:
    • Assemble, review, and verify invoices and payment requests
    • Request and review W-9 forms from new vendors
    • Flag and clarify any questionable invoice terms or pricing issues
    • Match POs, packing slips, and supporting documentation with invoices
    • Coordinate with various departments to obtain approval for payment
    • Code invoices and payment requests
    • Scan and upload invoices into the accounting system
    • Perform weekly check runs
    • Enter weekly electronic transfers and payments
    • Monitor all vendor accounts to ensure payments are current and up-to-date
    • Maintain vendor files
    • Track use tax and assist Controller with quarterly filings
    • Identify vendor 1099 status and transactions and responsible for annual 1099 filings
    • Manage all 80+ PEX cards and 15+ credit cards to ensure receipts are provided timely for month-end close; charges are allowable per school policy, and coding of transactions
    • Other duties as assigned by the Controller
     
    Qualifications:
    • Bachelor’s degree in business, with an emphasis in accounting or finance
    • 3 to 5 years of accounting experience
    • Nonprofit accounting experience is preferred but not necessary

  • Administrative Assistant and Office Manager

    Silicon Valley International School is currently looking for a highly motivated Administrative Assistant and Office Manager to join our Willows Campus Team. The ideal candidate should be comfortable working in a school environment and possess excellent communication and interpersonal skills to handle students of different age groups ranging from 4 to 16 years old. Empathy and patience are key traits that we are looking for in the ideal candidate.
     
    The Administrative Assistant and Office Manager's primary role will be to provide administrative support to the Upper School and Early Years Principal(s). Under the supervision of the Middle School Principal, the successful candidate will provide support to the principal(s) in a wide range of office and school operations, coordinate and organize office activities, and coordinate the flow of communications and information for the Principal(s); provide support by planning, organizing, supervising and participating in the school office administrative operation; maintains confidentiality of sensitive and personal information; prepares and maintains a variety of records and reports related to assigned activities.
     
    The salary range for this position is between $60,000 to $75,000 and is based on your relevant experience and education. This is a fully-benefited position that includes medical, dental, and vision coverage, as well as a 403(b) retirement plan. In addition, the school offers generous paid time off, which will help maintain a healthy work-life balance.
    Primary Responsibilities

    • Performs diverse office-related managerial responsibilities as delegated by the Principal; coordinates and organizes office activities and coordinates the flow of communications and information for the Principal.
    • Handles routine issues and emergencies concerning employees and students, makes decisions independently or collaboratively, and recommends action as appropriate. 
    • Compiles information and prepares and maintains a variety of records and reports related to assigned activities (i.e., monitoring employee absences list)  
    • Maintains confidentiality of various aspects of school operations, including sensitive and personal information.
    • Performs a wide variety of secretarial work, including typing and word processing, proofreading, filing, recording information, and processing and distributing correspondence. 
    • Provides training and work direction to assigned office personnel (i.e., receptionist) organizes and expedites the workflow of the school site, and offers guidance and direction to other school personnel as needed. 
    • Updates absence and timesheet information for assigned personnel. 
    • Serves as a major program information resource person and liaison between campus, division, and the business office, who will disseminate accurate and timely information and direction to students, parents, staff, and visitors. 
    • In collaboration with the Executive Assistant to HoS, will assist in securing substitutes in order to ensure adequate coverage for the school site.
    • Prepares and submits purchase orders for all departments on campus and/or work orders as assigned; prepares reimbursement requests as needed 
    • Reconcile credit card statements with receipts with a monthly average spending of $15,000
    • Composes correspondence independently or with general instruction on a wide range of subjects requiring knowledge of procedures and policies of the school
    • Assists with planning school events (i.e., field trips, community meals, school dances)as needed; arranges travel for assigned personnel as required. 
    • Answers questions and resolves situations involving students, parents, the public, location staff, and District personnel through knowledge of school policies 
    • Operates a variety of office equipment, including a copier, fax machine, two-way radio, computer, and assigned software.  


    Qualifications 
    • A bachelor’s degree (in a related field) or a combination of education and relevant school experience
    • 3 years of experience working in an office setting and supporting upper management

  • Early Years Program- Learning Assistant

    As a Learning Assistant at Silicon Valley International School you will work closely with our international group of teachers to support early years students.  Your primary responsibility is in the safety and social emotional wellbeing of our students. This is a full time position with a comprehensive benefits package, competitive pay commensurate with years of experience and generous paid time off.
     
    The Learning Assistant works within the framework of the job description and assignment and makes decisions only within that framework.
     
    Learning Assistants are required to maintain certifications as required by the school and/or Social Services. In addition, they should keep all relevant certifications current. 
     
    This position is an hourly, full-time, non-exempt role that comes with full benefits. You will report to the Director of Licensing and Enrichment Support. The base salary range for this position is between (CO-1) $57,283.00 and (CO-20+) $75,435.00 per year, depending on your years of relevant work experience and educational attainment.
     
    All prospective applicants are required to be inoculated against COVID-19, subject to the provisions for medical or religious exceptions. It should be noted that the school will require substantial documentation to support any requests for exemption.
    Learning-Assistants are expected to:
    • Follow Social Services requirements and stay with the students at all times.

    • Meet weekly with the teacher to get information on upcoming activities and preparation needed
    • Assist in preparing the learning environment, setting up activity centers, and preparing needed material and supplies in advance, as instructed by the teacher/Licensing & Enrichment Director
    • Note: Preparation should be made when the Employee is not responsible for supervising the students.
    During the academic year, learning-assistants are not expected to:
    • Plan and initiate learning activities; for example, develop specific lesson plans, select learning materials
    • Report to parents on pedagogical matters or student academic performances

      Expectations for mini-camp and summer care

    During summer care and mini-camp, learning assistants are considered camp counselors. They are expected to plan and implement activities under the guidance and supervision of the Licensing and Enrichment Support Director; who will provide a theme for the camps and help to organize planning. The learning assistance [or camp counselor] can use the available time the week before the mini-camp for planning and preparation. Time will be given in the summer care schedule to allow for weekly planning and preparation.  
     
    Working Conditions

    • Good general health, physical stamina, and emotional stability are essential

    Qualifications:
    • 12 Early Childhood Education Units minimum preferred 
    • Minimum 2 years experience working with Early Years age children

    Compensation and Benefits:
    Our compensation years of relevant work experience. The hourly range is $27.53 to $36.27 per hour. 
    The school provides six weeks of paid time off (PTO) and 10 days of paid sick leave (PSL), in addition to eight paid holidays per academic year.

  • Elementary English Teacher

    IB Primary Years Programme-English Teacher

    Summary of the position

    The Elementary English Teacher works across our Chinese, French, and German bilingual classrooms to help inspire a foundational love for learning. They facilitate learning by establishing a relationship with students and by their organization of learning resources and the classroom learning environment. They develop and foster the appropriate skills and social abilities to enable the optimum development of children according to age, ability, and aptitude. They assess and record progress and document the learning journey. They link students' knowledge to earlier learning and develop ways to encourage it further. PYP Teachers challenge and inspire students to help them deepen their knowledge and understanding.  

    The Elementary English Teacher must demonstrate commitment to INTL’s mission and the population we serve, as well as be experienced with teaching at the Elementary school level.  They must also be responsible, self-motivated, friendly, willing to work with a team of colleagues and be accepting and adaptable to a working environment with different cultures.

    The position involves teaching through inquiry according to the PYP framework while also ensuring foundational skill acquisition and collaborating extensively with Chinese, English, French, and German program teachers. Time for collaboration with the other teachers is built into the schedule. INTL seeks teachers who know how to combine academic rigor with student engagement and have experience with inquiry-based teaching and learning.

  • Executive Assistant, Advancement

    Support Chief Advancement Officer
    • Provides day-to-day support by drafting emails and letters, scheduling lunches, and keeping calendar.
    • Assists with scheduling of and details related to Major Gift and Development committees
      • Updates agendas, reserves conference rooms, order food and send out meeting minutes.
    • Supports Annual Fund efforts by managing the Targeted Donors List, writing Targeted Letters, and updating the list for the following year; updating Annual Fund details on the website; adding in off-line gifts online
      • Supporting the Annual Fund Champions (Parent Volunteers) with questions and supplies.
    • Supports the Capital Campaign by creating folders for asks, taking pictures of students, and assisting with scheduling meetings and major donor events and projects.
    • Organizes advance materials for the newsletter and annual report (finds photos, creates graphs, etc.)
    • Internet and database-related duties such as researching Major donors, utilizing online tools to schedule Major Donor lunches, managing Advancement groups through an online content management system, creating mass email messages and event registrations, and managing Advancement webpages.
     
    Stewardship
    • Helps with school stewardship (i.e., sending teddy bears, e-cards, flowers, etc.)
    • Organizes Advancement Cocktail Gifts for 75 high-level volunteers
    • Has knowledge of the various aspects of fundraising (i.e., planned giving conversations, the importance of social media, etc).
    • Is an ambassador of the school at all times and stewards any parents and families they come in contact with
     
    Event Support
    • Provides event support (attend, prep, and assist), which may include SDV, Gala, INTLConnect, Arts Night, Taste Day, Alumni BBQ, Advancement Cocktail, Phone-a-thon, AF Champion Meeting, Red Carpet, Alumni Reunions.
    • Works with CAO and Database on Red Carpet matching, emails, e-vite, and event day.
    • Oversees large wine inventory for SDV events, including keeping an accurate database of each bottle of wine.
     
    Volunteers
    • Supports all school volunteers – work with the human resources department on a list of volunteers who have cleared the fingerprinting process.
    • Helps create an open and inviting atmosphere in the office
    • Assists PTA in creating maintenance tickets, adding items to the school calendar, updating room parent emails, and annual volunteer luncheon

    Communications
    • assists with the management of school-wide calendars, creates and schedules school-wide announcements, and push page
    • Creates weekly eNewsletter entries
    • Supports with Photography needs
    • “ghosts” write in another voice, have excellent writing skills, are able to write text from dictations, and have excellent copywriting skills.

    Position Qualifications/Skills:
    • Associate or bachelor's degree in a related field

  • PYP Learning Specialist & Chinese as a Second Language Teacher (PS-5th Grade)

    Silicon Valley International School (INTL) seeks a Learning Specialist/CSL Teacher to become a member of the Learning Support Teaching Team serving students in our Early Years and Elementary School (PS- 5th grade).

    Learning Support at INTL aims to provide all students with the pathway to thrive socially, emotionally, and academically. The learning specialist will work closely and in partnership with teachers, administrators, parents, and other members of the student services team. The CSL teacher aims to support students newer to Mandarin with individualized and small-group instruction that targets learning (predominantly in PS-K).

    The learning specialist/CSL teacher will teach (push-in and pull-out support) students who have been diagnosed with learning differences or identified as having learning, academic, or behavioral difficulties. The learning specialist/CSL teacher will be responsible for identifying learning styles, collecting and collating data to analyze and interpret, observing and screening students, and providing services and support to students and teachers.

    The ideal candidate will have excellent social and emotional skills, a strong understanding of inquiry-based learning approaches and bilingual education, demonstrated DEI skills, and the ability to stay current on the latest research in special education and language learning.
    The compensation range for this position is between $69,000 and $100,000, and it depends on educational attainment and professional work experience.

    Primary Responsibilities

    • Meets regularly with students (to provide individual and/or small group academic interventions according to need) who have learning differences to support classroom learning and their self-confidence
    • Meets regularly with students (to provide individual and/or small group targeted support) who are on the CSL caseload to support classroom learning and their self-confidence
    • Administers and reviews assessments, develop learning plans, document intervention and progress
    • Monitors caseload students’ progress and maintains accurate records of growth.
    • Creates individualized learning plans for students, including classroom and testing accommodations 
    • Designs and/or co-leads professional development programs for faculty to better understand learning differences and support the implementation of classroom accommodations 
    • Consult with other teachers and families to interpret and report screenings/evaluation results, make recommendations for further outside evaluation or support, ensure adhesion to mandated accommodations, recommend additional strategies for the classroom or at home, and provide specific referrals as needed
    • Partners with families and regularly communicates on student progress, growth, and needs
    • Coordinates with Student Services team members to ensure successful communication, consistency and transfer of appropriate knowledge.
    • Reads and distills neuropsychological reports and interprets results for school personnel
    • Robustly uses data to assess the current and long-term needs of our population.

    Position Qualifications/Skills

    • Master’s Degree from an accredited college or university in Special Education or Education Preferred
      • Additional qualifications or certifications preferred but not required (such as, Educational Therapy, Reading Remediation, Gifted and Talented Education, Licensed Specialist in School Psychology (LSSP), Board Certified Educational Therapist (BCET), or Educational Therapist/Professional (ET/P))
    • Minimum of two years of successful teaching experience, preferably in independent schools
    • Capacity to work effectively in a multicultural environment with an understanding and appreciation for diversity

  • Registrar & Database Administrator

    Position Overview
    Silicon Valley International School is currently searching for a Registrar and Special Project Coordinator to join our team. The successful candidate will be responsible for overseeing all academic records related to our students, including class enrollment, schedules, report cards, and other cumulative records.

    The Registrar will work closely with various stakeholders and departments to ensure the accuracy of student records, organize records, and provide academic information when needed. Additionally, they will be assigned special projects as needed, such as school merge coordination and reopening logistics. 

    The ideal candidate for this position must have excellent organizational skills and be proficient in computer programs and databases [i.e., Asana, Blackbaud Education Management, MacOS]. They will work with a small team to catalog and maintain student academic records.

    The position reports directly to the Chief Information Officer (CIO) and is an hourly, non-exempt position with benefits. The salary range is between $35.00 to $50.00 per hour and will be determined based on the candidate's relevant work experience and academic attainment.



    Primary Responsibilities
    • Registrar/Data Management
    • Maintain up-to-date and accurate physical and computerized auditable student and associated family records.
    • Record, create reports, and maintain correspondence of student records, including but not limited to student cumulative folders, demographics, grades, report cards, diplomas, vaccination and/or immunization records, and transcripts.
    • Assist with the enrollment, withdrawals, and transfer of students and process applicable records.
    • Provide support for the Chief Information Officer by maintaining school databases.
    • Maintain database integrity and security through regular monitoring, error correction, and data clean-up.
    • Responsible for the creation, distribution, and completion of all school forms.
    • Assist families with forms as necessary.
    • Create and prepare report cards and transcripts for distribution to families.
    • Support the CIO for the Student Information System (INTLnet).
    • Update and manage schedules in the SIS (INTLnet).
    • Manage Emergency notification system.
    • Create reports and import and export data.
    • Write and assemble documentation and training materials for the use of database systems.
    • Work with the CIO and other stakeholders to define standard practice and oversee flow of information between various constituent management systems.
    • Support employees in all departments with database matters, including integration, updates, queries, and related issues.

    Special Project Coordinator
    • School merge coordination.
    • School reopening logistics. 
    • Documenting and following up on important actions and decisions from meetings.
    • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
    • Create and maintain a project management calendar to fulfill each goal and objective.
    • Provide administrative support as needed.
    • Other projects as identified and assigned.

    Position Qualifications/Skills
    • Experience with databases, records management, and/or scheduling in education, corporate, and/or non-profit environments is preferred.
    • Apple/macOS experience preferred.
    • Very strong spreadsheet skills (Microsoft Excel or Google Sheets preferred).
    • Strong proficiency with computer technologies, including databases, scheduling, productivity applications, and project management tools such as Asana.
    • Knowledge or experience with Blackbaud Education Management products is a strong plus.
    • Possesses strong oral and written communication skills.

  • Upper School Physical and Health Education Teacher

    Silicon Valley International School (INTL) seeks an Upper School (Grades 6-10) Physical and Health Education Teacher for the  2024-2025 school year. 

    Teachers at INTL develop schemes of work and lesson plans in line with the IB Middle Years Programme curricular framework and objectives. They facilitate learning by establishing a relationship with students and by their organization of learning resources and the classroom learning environment. They develop and foster the appropriate skills and social abilities to enable the optimum development of children according to age, ability, and aptitude. They link students' knowledge to earlier learning and develop ways to encourage it further. They challenge and inspire students to help them deepen their knowledge and understanding.  

    The Upper School Physical and Health Education Teacher must demonstrate commitment to INTL’s mission and the population we serve and be experienced with teaching at the Middle School and lower High School levels. They must also be responsible, self-motivated, friendly, willing to work with a team of colleagues, and accepting and adaptable to a working environment with different cultures.

    The position involves teaching through inquiry according to the MYP framework while also ensuring necessary skill acquisition and collaborating extensively. Time for collaboration with the other teachers is built into the schedule. INTL seeks teachers who know how to combine academic rigour with student engagement and have experience with inquiry-based teaching and learning.
